The Company
Our client is one of the largest Australian-owned distributors of construction equipment, with a national dealer network boasting over 20 branches Australia-wide, providing new and used sales as well as machinery hire to the construction, mining, and forestry industries. They are authorised dealers for more than 10 major OEM brands including ASV Posi-Track, JCB, XCMG, Develon and Fecon, stocking a wide range of machinery including excavators, loaders, skid steers, material handling equipment and graders. Due to an internal promotion at our client’s Hexham dealership, we are seeking to appoint an experienced Warranty Administrator to join their team.
About the Role
In this critical support role, you will be responsible for managing, processing, and tracking warranty claims accurately and efficiently, ensuring compliance with OEM requirements while supporting both customers and internal stakeholders.
What You’ll Do
- Process and submit warranty claims to OEMs in line with policy and documentation requirements
- Liaise with suppliers, manufacturers, customers, and internal departments regarding claim status and required supporting evidence
- Review job cards, technician notes, photos, testing information and parts usage for claim eligibility
- Maintain up-to-date warranty records, registers, and filing systems
- Assist with the coordination and administration of product recalls, bulletins and product improvement programmes
- Monitor claim outcomes, follow up on outstanding claims and escalate where required
- Ensure all claims are accurate, timely, and well-documented to maximise approvals
- Provide reporting to management as required
- Support general administration functions when necessary
What You’ll Bring
- Strong administrative skills with excellent attention to detail and data accuracy
- Proven experience in warranty, service administration, parts interpreting or a dealership / workshop support role
- Ability to read and interpret technical information (mechanical knowledge highly regarded)
- Sound communication skills, both written and verbal
- Strong organisational and time-management skills with ability to prioritise
- Confident computer literacy and ability to learn OEM platforms and internal software
- Positive attitude with a collaborative and proactive approach
The Candidate
We are ideally seeking someone who has prior experience within a dealership, OEM, heavy equipment, automotive or machinery-based service environment. Exposure to warranty processes or claims management is highly desirable. Candidates who are process-driven, thorough with documentation, and comfortable working to policies and deadlines will be well-suited to this position.
Please note: The successful candidate must be motivated to support multiple areas of the business when required. A valid NSW driver’s licence is essential.
Remuneration
A competitive salary package is available and dependent on experience, with an expected salary range of:
- $75,000 – $85,000 + Super
- Working Hours: Monday – Friday, 7:30am – 4:00pm
